Group Practice Features

Features available when you add a second clinician to your SimplePractice account.

🔒

Role-based access controls

Assign each team member a role: Practice Manager, Clinician, or Scheduler. Each role has preset permissions. Clinicians can only see their own clients unless explicitly granted broader access. This is required for HIPAA compliance in group practices.

👤

Separate client lists per clinician

Each clinician sees only their own caseload by default. A practice manager can view all clients across the practice. Client records stay separate — a clinician cannot accidentally access another clinician's notes.

📅

Shared calendar management

Practice managers can view and manage all clinician calendars from one view. Schedule clients with any clinician, manage room assignments, and coordinate multi-clinician appointments. Clinicians see only their own calendar.

💳

Centralized billing

Run billing for the entire practice from one account. Practice managers can view all invoices, run billing reports across clinicians, and manage insurance billing for the full group. Each clinician's billing is tracked separately for reporting.

📄

Group BAA coverage

One BAA covers the entire practice and all clinicians. You do not need separate BAAs per clinician. The group practice BAA includes all users and all features — telehealth, messaging, billing, and storage.

✍️

Supervisor co-signing

Supervisors can review and co-sign notes written by supervised clinicians (interns, associates). The co-signing workflow is built in — no separate documentation needed. Required for practices with pre-licensed clinicians.

Is SimplePractice Good Enough for Large Groups?

SimplePractice works well for groups up to approximately 15–20 clinicians. Beyond that, practices often find the billing reporting and administrative tools less robust than enterprise-focused EHRs like Therapy Brands or ICANotes.

SimplePractice works well for:

  • Solo therapists expanding to a group
  • 2–15 clinician practices
  • Cash-pay or mixed insurance practices
  • Practices that value ease of use

Consider alternatives for:

  • 20+ clinician practices
  • High-volume insurance billing operations
  • Practices needing complex reporting
  • Multi-location enterprises

FAQ — SimplePractice for Group Practices

How does SimplePractice billing work for group practices?

In a group practice, SimplePractice charges per clinician. The primary account owner pays the base plan rate, and each additional clinician is added at a per-clinician rate (currently $59/month for Essential). All clinicians share one account, one BAA, and one billing clearinghouse — but have separate client records and calendars.

Can a practice manager see all clinicians' clients in SimplePractice?

Yes — users with the Practice Manager role can view all clients and calendars across the entire practice. Clinicians with the standard Clinician role can only access their own clients. This role separation is important for HIPAA compliance in group practices.

Does SimplePractice support supervisors co-signing notes?

Yes. SimplePractice has a supervisor co-signing feature for practices with pre-licensed clinicians. Supervisors can review notes written by their supervisees and add a co-signature. This is a requirement for many state licensing boards when clinicians are working toward licensure.

Is one BAA enough for an entire group practice in SimplePractice?

Yes — SimplePractice's BAA covers the entire practice account and all clinicians and staff users. You do not need separate BAAs per clinician. The BAA covers all SimplePractice features including telehealth, secure messaging, billing, and document storage.
